Every Document You Need to Rent a Flat in Portugal (2026 Checklist)

Renting in Portugal runs on paperwork. Agencies ask everyone for roughly the same folder, and having it ready — clean, current, and complete — is often what separates the applicant who gets the flat from the one who's still gathering documents when it's gone. Here's the full checklist.

The essentials, for everyone

Identification. A valid passport or national ID card. EU citizens can use their national card; everyone else, a passport (plus residence documentation if you have it).

NIF (Número de Identificação Fiscal). Your Portuguese tax number. You'll need it for the lease, utilities, and almost everything else. You can get one at a Finanças office or through a fiscal representative; it's usually quick.

Proof of income. This is the heart of the application. Most commonly your last three payslips, your most recent IRS statement (the annual tax return), or recent bank statements showing regular income.

If you're employed

Payslips (recibos de vencimento) for the last three months are the standard. Some owners also ask for an employment contract or a declaration from your employer confirming your role and that you're on a permanent contract. If you've just started a job, a signed contract plus a first payslip usually does the job.

If you're self-employed

Recibos verdes — the green receipts freelancers issue to clients — are the usual proof, alongside your IRS statement showing declared annual income. Because self-employed income varies, showing several months of bank statements with the incoming payments helps owners see it's steady. Expect to be asked for a little more than a salaried applicant; having it organised upfront defuses that.

The extras owners may ask for

References from a previous landlord confirming you paid on time. These carry real weight and most newcomers overlook them.

Proof of the deposit (caução) — typically one to two months' rent, held against damage, separate from any advance rent.

A note on privacy

You'll be handing sensitive documents to strangers, sometimes several at once for a single flat. It's worth being deliberate about what you share and with whom.
